1. About these terms

These Terms & Conditions ("Terms") govern enrolment in courses, workshops and events run by Hong Kong Data Club ("HKDC", "we"), and use of the HKDC AI Academy platform at member.hkdataclub.org (the "Platform"). By enrolling in a programme, redeeming a class code, or using the Platform, you agree to these Terms.

2. Enrolment & acceptance

  1. Enrolment is completed by signing in to the Platform and redeeming a valid class code, or by any other enrolment method we specify for a programme.
  2. Acceptance of any application is at HKDC's discretion. Places are limited and allocated on a first-come, first-served basis upon full payment.
  3. We will confirm enrolment by email. A receipt for payment will be emailed after payment is processed.
  4. If a programme is over-subscribed, we may run additional sessions and notify affected participants of new dates, times or venues.

3. Class codes

  1. A class code grants one seat in the specified course intake for one person. Codes may have an expiry date and a usage limit.
  2. Once redeemed, a code is tied to your account and is non-transferable. Before redemption, a company-sponsored code may be reassigned to a colleague by notifying us.
  3. Redeeming a code when you are already enrolled in the same course does not consume an additional seat.
  4. Codes obtained other than from HKDC or an authorised partner may be cancelled.

4. Fees, refunds & substitution

  1. Fees are as published for each programme. Any early-bird or group discounts apply only as stated at the time of enrolment.
  2. All payments are non-refundable once the enrolment is confirmed, except as required by law or as set out below.
  3. If you cannot attend, you may nominate a substitute participant (who must meet any entry requirements) by notifying us at least two working days before the programme starts, provided your class code has not yet been redeemed.
  4. In exceptional circumstances we may approve a refund at our discretion; an administrative fee of 3% of the refunded amount will be deducted.
  5. If HKDC cancels a programme and no alternative date is offered, fees paid will be refunded in full.

5. Programme changes & adverse weather

  1. Participants should attend at the time and place specified for the programme unless otherwise notified.
  2. HKDC reserves the right to alter programme details — including dates, times, venue, format (in-person/online), content and instructors — and will give reasonable notice of material changes.
  3. In adverse weather (e.g. Typhoon Signal No. 8 or above, or Black Rainstorm Warning), in-person sessions may be postponed or moved online; we will notify participants by email or WhatsApp.

6. Course materials & intellectual property

  1. Course materials (slides, handouts, downloads, recordings, lab content) are provided strictly for your own educational use.
  2. You may not reproduce, redistribute, publish, resell or share materials or your Platform access with any third party without our written consent.
  3. All intellectual property in the materials and the Platform remains with HKDC or its licensors.
  4. Sessions may be photographed or recorded by HKDC for teaching or promotional purposes; tell us before the session if you object to appearing in such media.

7. Platform account & supplementary tools

  1. One account per participant. Keep your sign-in method secure; you are responsible for activity under your account.
  2. Some programmes include supplementary tools, such as a personal AI (LLM) API key with a pre-loaded spending cap and a personal n8n automation workspace. These are provided on a reasonable-effort basis as a courtesy accompanying the course; where automatic provisioning fails, we will arrange access manually.
  3. Supplementary tools are for coursework and personal learning only. Do not use them for production workloads, for any unlawful purpose, to generate harmful content, or in a way that circumvents spending caps or provider terms.
  4. AI/tool providers, models, credit amounts and availability may change or be withdrawn; unused AI credit has no cash value and expires with the programme unless we state otherwise.
  5. We may suspend or revoke Platform or tool access for misuse or breach of these Terms.

8. Personal Data Collection Statement

  1. Purposes. Personal data collected on enrolment and through the Platform is used for: processing applications and enrolment; course administration and delivery; provisioning course tools (e.g. AI key, n8n workspace); communicating with you about your programme; quality assurance, research and statistics; and complying with legal obligations. If you do not provide required data we may be unable to enrol you.
  2. Disclosure. For the purposes above, data may be disclosed to service providers within or outside Hong Kong (e.g. hosting, email, AI-tool and workspace providers), your sponsoring organisation (if company-sponsored), and government or regulatory authorities where required.
  3. Direct marketing. With your consent, we may use your name and contact details to tell you about HKDC programmes, events and membership. You may opt out at any time, free of charge.
  4. Access & correction. You may request access to or correction of your personal data by emailing hello@hkdataclub.org.

9. Participant's declaration

By enrolling you confirm that the information you provide is correct and complete, and you understand that misrepresentation may lead to disqualification from the programme without refund.

10. General

  1. HKDC supports equal opportunity and does not discriminate on the grounds of gender, disability, family status or any other protected basis.
  2. To the extent permitted by law, HKDC's liability in connection with a programme is limited to the fees paid for that programme. Nothing limits liability that cannot be limited under Hong Kong law.
  3. We may update these Terms from time to time; the version published on the Platform at the time of your enrolment applies.
  4. These Terms are governed by the laws of the Hong Kong Special Administrative Region. The English version prevails over any translation.
